Employee guide
Requesting time off and calling out at MSW CVI.
How time off works here
You do not need an account or a password. Time-off requests are submitted from the home page, and your manager reviews them.
- A working day is 7.5 hours.
- You have two separate balances: PTO for vacation, personal and union business, and sick time for illness and call-outs.
- Weekends and Mount Sinai holidays are never counted against your balance. A request from Monday to Friday over a week containing a holiday costs four days, not five.
Requesting time off
- Go to the home page and start typing your name. Pick yourself from the list that appears.
- Choose your dates. You can request from today up to a year ahead.
- Choose the type: Vacation, Personal, Sick, or Union Business.
- Add a reason if you want to. It is optional for ordinary time off.
- Submit. Your manager will approve or deny it.
Nothing is deducted from your balance when you submit — only when a manager approves.
Part of a day
Tick This is a partial day and give a start and end time. You are charged the actual hours between them, so 9:00 to 12:30 costs 3.5 hours rather than a full day.
A partial day has to start and end on the same date.
Calling out sick
There are two ways, and both record the same thing.
- Text (516) 518-9564 from the mobile number your manager has on file. You will get a reply confirming it.
- Use the form — tick Call-out on the home page.
If you text from a number that is not on file, you will get a reply saying so. Contact your manager directly in that case, and ask them to add your number.
If you are not on the list
Use Register as a new employee on the home page. Give your name, work email, team and position. A manager reviews it, and once approved you can submit requests by name.
What happens to your request
- Pending — submitted, waiting for a manager. Nothing has been deducted yet.
- Approved — the hours have come out of your balance.
- Denied — nothing is deducted. The manager can give a reason, which is included in the email.
- Completed — approved time that has now passed.
You are emailed when a request is submitted, approved, or denied.
A few rules worth knowing
- Requests should go in at least 48 hours ahead where possible. Emergencies are handled case by case.
- RNs cannot request PTO here. Use the paper form and give it to your nurse manager. RNs can still call out through this system.
- You can see who else is off on the team calendar before requesting.
- If you run out of balance, a manager can still record time off — it is flagged as exceeding your balance rather than refused.
Questions
Contact your supervisor for anything urgent, or if a request looks wrong. Balances are adjusted by managers, not through this form.
